BOOKING & CANCELLATION POLICY

Booking Information
 

Bookings are essential in order to secure your spot. Please keep in mind, we cannot guarantee you will get a spot if you show up without a booking. 
 

What to Bring for Class
 

Grip socks are required for all Pilates Reformer classes for safety and hygiene reasons. Socks are available for purchase at the studio as needed. Please bring a yoga mat for Yoga classes. We have a limited number of hire mats and cannot guarantee there will be one available.

Class Booking and Cancellation Policy 
 

Booking opens at 5am, 7 days prior to class.
 

  • Please arrive 10 minutes before your class to check in, store your belongings, and settle in for class. Late entry is not permitted. For security reasons, the door to the studio will be locked at the beginning of each class. 

  • BodyMindLife has a strict 2 hour cancellation window. We understand that life can be unpredictable which is why our 2 hour window is in place to give you plenty of time to make changes to your booking or cancel if you are not able to make it.

  • Cancellations within 2 hours prior to class will automatically incur a $15 Late Cancellation fee, with the exception of 10 class pass holders and pre-paid corporate accounts who will lose a class, and 2 classes x week members who will lose a class in addition to incurring a late fee.

  • If you simply do not show for your booking you will be automatically charged a $25 No-show fee. Please ensure you check in with your teacher on arrival to avoid being marked as absent.

  • All class cancellations must be made via your Account either via the app or online. We do not accept class cancellations via email/support chat unless you are experiencing technical difficulties, in which case please contact your studio via the app or online chat function.

  • The Late fee and No-show fee are non-refundable. 

 

The cancellation and booking policy applies to all yoga and Pilates classes and is in place to ensure everyone has a fair chance to attend.

Waitlist Policy - Treat the waitlist like booking a class!

​

The waitlist feature allows you to join a list for a fully booked class up to 7 days in advance. Here's how it works:
 

  • Booking Notification: You will receive a notification with an option to book once a spot becomes available. If you don't confirm your spot within 10 minutes, it will be offered to the next person on the waitlist. You will remain on the waitlist until you are confirmed for a spot, or until you leave the waitlist.

  • Manual Enrolment from Waitlist: To ensure empty spots are filled, we may manually enrol students from the waitlist to the class if available spots have not been claimed. In this case you will receive a booking confirmation. If you no longer wish to attend, please cancel your booking or remove yourself from the waitlist.

  • Enrolment within the 2 hr Cancellation Window: Please note you might be enrolled into class up until the start of the class, so please treat being on the waitlist as if you've booked the class. The 2 hour cancellation policy applies to all bookings, including those that have been enrolled manually from the waitlist.

  • Leaving the Waitlist: If you have waitlisted for a class and are unable to attend, please Leave the Waitlist via your Upcoming Bookings in your App or online account to avoid incurring a Late or No-show fee.

  • The Late fee and No-show fee are non-refundable.

Membership and Pass Terms and Conditions 

​

10 Class Pass: Gives you access to 10 classes at specific studios. Valid for 6 months from purchase date. This pass is non-refundable and non-transferable. No extensions or suspensions available.

Trial Pass: For new students only – strictly 1 Trial Pass per person. BodyMindLife reserved the right to cancel without refund any Trial passes purchased under duplicate accounts. Trials are valid for 14 days from start date. No suspensions or extensions available. Please choose your Trial Pass carefully as you can only purchase one trial pass. 
 

Member Guest Pass: Members may redeem 1 x Guest Pass per month which they can use to bring a guest to a complimentary class. Please note the Guest Pass is valid for new students only, and applies to the class style relevant with their Membership type.

How to Redeem a Guest Pass: Please ensure your guest has created an account via the app or online before you contact us via support chat to book their class as your Guest. Be aware our Booking and Cancellation Policy applies to Guest Pass bookings, just like any other booking.
 

Weekly Membership: Please read your contract for full membership contract details. Some important information below:
 

  • Studio Membership Payments are debited from your credit card weekly. We do not accept bank account payments or AMEX.

  • You can book classes under your membership from your selected start date.

  • Payments are non-refundable and non-transferable.

  • There is no minimum contract period. Payments will continue until further notice from you.

  • You may opt to cancel your membership at any time via your Account.

  • Once you cancel your membership, you will no longer be eligible for loyalty rates.

  • It is the responsibility of the member to cancel their membership. Non-attendance does not warrant a refund on membership payments. Memberships will not automatically cancel due to non-attendance.

  • To keep your current membership rate, you may opt to suspend your membership instead. 

  • The minimum suspension period is 7 days.

  • Suspensions can be actioned via your App or online account. You must log in to select your start and end date.

  • You must have an active membership in order to book classes, and cannot pre-book while on suspension.

  • Memberships will not automatically be placed on suspension due to non-attendance. 

  • Days that have been paid for will be made available for use at the end of the suspension. 

 

6-12 Month Memberships: Please know these memberships are not available as a permanent membership option, but we may sell these during special membership promotions:
 

  • 6-12 month Memberships are non-refundable.

  • 6-12 Month Memberships can be transferred to another member at a cost of $150. It can take 48 hours to process the transfer once we have the details from you.

  • The minimum suspension period is 7 days and you can suspend for a maximum of 6 weeks on your 12 month pass, and a maximum of 4 weeks on your 6 month pass. We are unable to backdate suspensions or place the membership on hold without a return date.

 

Sauna Cancellation Policy

​

Sauna appointments follow the same guidelines as for yoga and Pilates classes.
 

  • All sauna appointments are self managed, which means we do not have staff present to manage your session. If you have never used an infrared sauna before and require assistance, please reach out to the studio via Wix Chat to book your appointment at a time when a teacher or staff can be present to assist you.

  • Arrival: Please arrive at least 10 minutes prior to your appointment. Studio doors will lock on the hour coinciding with the class schedules, so if you arrive late for your appointment you may not be able to gain access to the studio.

  • Saunas are located in both the male and female change rooms, and bookings must be made for the specific location.

  • Bookings open 7 days prior to the session. We highly recommend booking your sauna time in advance to guarantee availability. Walk-ins without a booking cannot be guaranteed a spot. Maximum one person can book the sauna per appointment.

  • Cancellation Window: Please provide at least 2 hours notice to cancel or reschedule your sauna appointment. Cancellations within 2 hours prior to your session will incur a $15 Late Cancellation fee or forfeit the sauna pass. A $25 No-show fee will apply for missed appointments.

  • How to Cancel: All sauna cancellations must be made via your account on the app or online. Email cancellations will not be accepted unless technical difficulties occur.

  • Non-refundable: Sauna appointments are non-refundable, but can be rescheduled with appropriate notice

BodyMindLife Workshops Cancellation & Refund Policy 

​

There is no refund or credit for cancellations within 48 hours of the beginning of a workshop for any reason. You may transfer your workshop booking to a friend, please contact the studio to arrange.

Guest Teacher Workshops Cancellation & Refund Policy

​

Guest Teachers may have their own cancellation terms, of which they will advise you separately.

The terms outlined below act as a general rule but our guest teachers reserve the right to charge in addition to these:
 

  • 10% of the course fee is non-refundable 14 days or more before the beginning of the training or workshop.

  • 50% of the course fee is non-refundable 13 days before the beginning of the training or workshop.

  • There is no refund for cancellations within 48 hours of the beginning of a workshop.

  • If you purchase a pass for multiple workshops and cannot attend part or all of the sessions, no refund is available for the unused portion.

  • You can transfer your workshop booking to a friend, please contact the studio to arrange

  • BodyMindLife and/or Guest Teachers reserve the right to cancel any course without notice. In this instance a full refund will be given.

Teacher Training Course Refund & Withdrawal Policy:

​

  • All $300 deposits for Teacher Training courses are non-refundable.

  • 10% of the course fee is non-refundable 14 days or more before the beginning of the training.

  • 50% of the course fee is non-refundable 13 days before the beginning of the training.

  • 3% processing fee charged for all Teacher Training Payment Plans.

  • There is no refund or credit for cancellations within 48 hours of the beginning of a workshop.

  • If a course offered at an off site venue is cancelled, the BodyMindLife cancellation fees outlined above are in addition to any fees outlined by the off site venue.  

  • BodyMindLife reserves the right to cancel any course without notice. In this instance a full refund will be given. Refunds will not be given in the instance of a venue relocation. BodyMindLife is not liable for any personal expense incurred as part of your course participation, including but not limited to flights, accommodation or transportation. 
     

Transferring to Another Training
 

In the event of cancellation from a BodyMindLife teacher training, BodyMindLife may consider transferring fees paid to another BodyMindLife training course within six months of the original course. This is at our discretion and we are under no obligation to do so. Rate increases may apply. For transfers within 14 days of the course 25% of the training fee will be retained as an administration fee.

Replacement of Teacher Training Certification
 

You can request a replacement on your Teacher Training certification (200 Hour and/or Pilates certificate) if your original certificate has been lost, stolen or damaged. The replacement fee for electronic certificates is $25.00.
​

Conditions for Course Bundles:
 

  • Pilates Mat and Reformer Bundle payment plans must be paid in full before first training starts and is available via credit card payment plan only.

  • In the instance of withdrawal from a bundle offer, the full rates will be reinstalled and discounts removed.

  • Payment Plan is available for 350/500 hr Yoga Teacher Training bundles. Must be paid in full before first training starts and is available via credit card payment plan only.

  • 350hr Yoga Teacher Training bundle offers only applies to BML core courses (Art of Alignment, Art of Sequencing, Philosophy)

  • 500 BML Teacher-run Yoga trainings + 1 only guest teacher 50 hr module (additional costs may apply).

  • Must register for all trainings at time of purchase.

  • Must be completed within 18 months or 2 years for 500hr.

  • $100 admin fee to change a course and must be applied for 14 days before the course start date.

  • No refunds or credits for incomplete courses.
     

Guest Teacher Training’s

Guest Teachers may have their own cancellation terms, of which they will advise you separately. The terms outlined below act as a general rule but our guest teachers reserve the right to charge in addition to these:
 

  • 10% of the course fee is non-refundable two weeks before the beginning of the training or workshop.

  • 50% of the course fee is non-refundable 13 days before the beginning of the training or workshop.

  • There is no refund or credit for cancellations within 48 hours of the beginning of a workshop.

  • If you purchase a pass for multiple workshops and cannot attend part or all of the sessions, no refund is available for the unused portion.

  • BodyMindLife and/or Guest Teachers reserve the right to cancel any course without notice. In this instance a full refund will be given.

Retreats

 

Your retreat deposit is non-refundable and non-transferable. Full payment of your retreat is generally required at least 120 days prior to the commencement of the retreat. Some retreats may impose different cancellation fees however unless otherwise stated the cancellation terms are as follows:
 

  • Your deposit is non-refundable

  • The deposit is your cancellation fee for cancellations outside of 90 days prior to departure.

  • Cancellations at or within 90 days 100% of the retreat fee is non-refundable.

  • BodyMindLife reserves the right to cancel any retreats without notice. In this instance a full refund would be given however BodyMindLife will not be liable for any other costs you have incurred (eg. flights, tickets, or accommodation).

Variations

 

We may sometimes add to change our terms and conditions. This includes changing class times, schedules, teachers, opening and closing hours, our services and facilities, venue location, membership fees and pricing policies. We do not automatically reduce your membership fees or extend passes because of the above reasons or if your preferred studio is closed for renovations or because of a reduced schedule during holiday periods.
